Before you invoice
Confirm the scope of work, the agreed price, and the payment terms with your client. Create line items that describe services or products succinctly and group them logically. Keep your brand contact info and tax identifiers up to date.
- • Collect PO numbers when required
- • Spell contact details clearly
- • Prepare tax or VAT references
Crafting the invoice
Use clear dates (issue + due), list each item with quantity and rate, and specify discounts, taxes, and shipping once. Preview the PDF to ensure totals and colors match your expectations, then export the final version.
After sending
Save a copy of the exported PDF, log the payment deadline in your calendar, and follow up politely if the due date passes. If you need to adjust, re-open the builder, apply credit notes, or regenerate a new invoice.
- • Retain copies for 6+ years (where required)
- • Update payment status manually
- • Send reminders before the due date
